Who is responsible for your information
In Depth Fitness LTD is responsible for the personal information described in this notice. We are registered in England and Wales under company number 15951853. Our registered office is Flat 3, 133 Larkhall Lane, London, United Kingdom, SW4 6RD. This is the registered office, not a training appointment address.
For a privacy question or request, email info@indepthfitness.com. This notice covers our website and initial enquiries. Any additional information needed for coaching will be explained when you arrange that service.
What we collect
You provide information directly when you complete a form, email us or contact a coach. Our forms ask for your name and email address, and let you provide a phone number, service interest, preferred coach, general goal, training frequency, intended start and message. We also record your optional marketing choice and the enquiry time.
Website hosting and security services process technical information such as IP addresses, browser information and request logs. Spam protection uses temporary hashed identifiers derived from an IP address or email address to limit repeated submissions.
Please keep website enquiries to general goals and availability. Do not send medical records or detailed health information through these forms.
Why we use it
We use your contact information to answer your enquiry and discuss the service you requested. Where you ask about working with us, our legal basis is taking steps at your request before entering a contract. For other correspondence and website security, we rely on our legitimate interests in communicating with visitors and protecting the website against misuse.
Your name and email address are needed to respond through the form. Phone and message fields are optional. Submitting an enquiry does not create a coaching account or add you to a separate CRM.
Marketing is your choice
Training tips and news are optional. We rely on your consent for this marketing and keep it separate from answering an enquiry. You can leave the box unticked and still contact us.
You can withdraw your marketing consent at any time by emailing info@indepthfitness.com or using the opt-out offered in a marketing message. Withdrawing consent does not affect earlier lawful use. We may retain a minimal record of your opt-out so we can respect it.
Who receives your information
Enquiries are delivered to info@indepthfitness.com for the coaches to handle. Website hosting, security and email services are supplied through WAcademy/Getspace, and JP Studio provides website maintenance and technical support. These services process the information needed for their respective roles.
If direct form delivery is unavailable, the website offers an email draft instead. That draft is sent only when you send it from your email application. Your email provider then also handles that message.
Following a WhatsApp, Instagram, Facebook, YouTube or Google link opens another provider's service. Information you share there is also subject to that provider's privacy notice. The website does not embed their feeds or automatically create a PT Distinction account.
Opening the members area loads PT Distinction's portal, which receives the technical information needed to provide that service. Login details entered there are submitted directly to PT Distinction. The PT Distinction Privacy Policy explains its use of information, cookies and technical services within the portal.
Processing outside the UK
Our hosting provider states that its hosting services and customer data are hosted in the European Union unless otherwise specified. Providers may also use services outside the UK. Contact info@indepthfitness.com to request information about the providers, processing locations and safeguards relevant to your enquiry or coaching account.
How long information is kept
Enquiry correspondence is kept while it is needed to answer and follow up your request. If you become a client, relevant correspondence may become part of the service record. Retention depends on whether the enquiry is active, any agreed service, and records needed to meet legal obligations or resolve a dispute. Information is removed when these purposes no longer require it.
Temporary spam-control identifiers stop affecting submissions after ten minutes and are removed during subsequent security checks. Hosting and email providers also retain technical records and backups under their own service arrangements. You can ask us about the records held for your particular enquiry.
Your rights
Depending on the circumstances, you can ask to access or correct your information, erase it, restrict its use, or receive a portable copy. You can object to processing based on legitimate interests and can stop direct marketing at any time. These rights can have legal exceptions.
Email info@indepthfitness.com to make a request. We may need to confirm your identity before releasing information. The website does not make automated decisions about coaching eligibility or use your enquiry for profiling.
Concerns and updates
Please contact us if you are concerned about how your information has been used. You also have the right to complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint.
We will update this notice if the website's data use changes. The date above shows when this version was prepared.
